Year-End Items…

Hello everyone!

Yes, it’s that time of year and Mike & I have some things we’d like to advise you about…

Time and time again we get irate employees who call here saying that we’ve screwed up their taxes by deducting the wrong amount–and surprisingly enough it even happens with tax professionals.  *shrug*  They all claim we’ve over deducted and that we, personally, owe them money.  Each and every time it has turned out that we’ve deducted exactly right.  They–or their tax professional–have neglected to add tips to their gross figures, or used the wrong box from the W2.  If you get an employee who corners you with this…  Before you have them call us, please ask them to reread the instructions, okay?   Those instructions appear right on the W2.  We have no problems researching legitimate mistakes and will always admit to them when we’re wrong.  But most employees think we purposely singled them out just to screw them.  *grin*

One other problem is validity of information within Pulse.  It’s a little after the fact now since we’ve already processed all W2s.  But you should stress to your employees that they make sure to review the information on their checks.  Their checks must always have their legal name , correct address, and correct SS#s–no nick names, or spelling issues, or mistaking first name for last name.  This puts pressure on whoever inputs data at the stores because we upload Pulse data directly into Peachtree, and it’s this data that we use to create W2s.  The government will kick out ALL documents that don’t match their records.  And that can be a lengthy problem to fix.  *frown*  A good way to prevent problems is to input an employee’s legal name into Pulse directly from their social security card, which you probably should have a copy of for their employee file. *wink*  If it’s merely an address change, there isn’t any current system in place that checks every piece of each employee’s info to what we already have in the system.  So, make sure your managers send us an email with the change so we know to look for it, okay?

We’re finished with W2s and are close to being complete on 1099s.  The next step is to begin the year-end process.  Once that is complete, I’ll be sending statements off to your CPAs.  For those of you who currently use Greg Delk as your CPA, I wanted to make you aware that we switched to a new CPA to complete our 2010 taxes.  Her name is Michele Beck, and she works out of Keller, Texas.  If you’re in Ms. Beck’s services, drop us a line.  We’ll get you her information.  My advice would be to talk to her on the phone and see if your personalities mesh.  And if you tell her you’re working with us, there might even be a discount for you.

Christmas & New Years Holiday Hours – McNarie & Associates

Hi all!

I just wanted to let you know our schedule for the holidays.

We’ll be shutting down at late afternoon on Wednesday, December 21st, and then returning to normal hours on Monday, December 26th.  Same thing for the week after Christmas–shutting down at late afternoon on Wednesday, December 28th and returning to normal hours on Monday, January 2rd.  As always, you may call if you have an emergency.  Please leave a message and we’ll get back to you as soon as we can.

For those of you who have payroll during either week (which means pretty much everyone)…   Please make arrangements with Mike to get your payroll–including bonuses–done early.  FedEx’s & UPS’s schedule get a little wonky during this time of year.  UPS is basically unreliable and FedEx will probably shut down operations early on both Fridays.  Our goal will be to get every payroll out the door by Tuesday.  So, look for verification phone calls beginning on each Monday (yeah, that’s today *wink*).  Please help us out and be available for it.  Thank you!!!

We’ll also be working hard to get our weekly payables (which normally go out Thursday/Fridays) cut by Wednesday.  So, please be ready for verification phone calls during the week–if they’re necessary.

Monthly P&L Requirement from Domino’s

Hi all,

We’ve been approached by Adonis Rawlings in Ann Arbor about a requirement that Domino’s is getting ready to enforce.  Adonis tells me that it’s part of the standard franchise agreement to provide Domino’s with financial statements for every accounting period, and that they’ve only chosen to enforce a yearly upload of P&Ls–which we already do for you at no cost.  Adonis’s call was to warn me that they were going to start enforcing the rule to provide financial statements on an accounting period basis in the coming months.

What this means is that we have to take the financial statement we provide you each accounting period, format it into an upload-able file, then log onto PWR and upload it there on your behalf.  The hardest part is the setup of it.  PWR won’t take the pdfs that we generate, even though our statements match the format of Domino’s standards.  And the spreadsheet used for the yearly version requires key input for each piece of information–which just isn’t time efficient when done more than once a year.  To upload on an accounting period basis, it takes a new version of that yearly Excel spreadsheet–which Domino’s has graciously provided for M&A–that allows us to copy/paste blocks of info in by store.  Then with a press of a button, it creates the file that we can then upload on PWR.  Once we received the new spreadsheet from Domino’s, it was just a matter of getting info out of Peachtree in a form that could easily be copied/pasted.  We’ve already had some success and have uploaded one franchisee in that manner.  Our next move will be to copy that system out to all other clients and put it into operation with every statement we generate for you.

Delay in Processing

Hi all,
Yesterday were blindsided with some changes in Pulse that interfered with our polling system.  Data hasn’t pulled over, plus what data has been polled isn’t valid.  We’ve had to upgrade our FOS/Polling system on the fly.  And with any new upgrade, there are always bugs.  Been working to get the problems cleared up both yesterday and today.

In regards to Period 8 prelims…  Normally, I would have had sales, royalties, and DNC all reviewed/paid/booked/etc. by the end of yesterday and I haven’t even started them.  So, I’m running a day, maybe two, behind with prelims.  My goal is to get them all complete by the end of the week.

For Payroll…  I’m told the data for payroll wasn’t affected–and true to their word we did get two company’s payrolls uploaded into Peachtree before we realized the problem on the sales/royalties side.  Mike is working on processing them.  However, upgrading the program means that Mike hasn’t had access to the system.  He’s working hard to keep from delaying payroll and so far thinks he can get everything out on time.  But he will work with those of you who have payroll this week individually.

We will keep you posted on any changes to these statements, and thanks for your understanding.

DNC Tickets

Hi everyone!
Yep… me again…  *grin*  We’ve become aware that franchisees can request to have their DNC tickets emailed directly to them–or to me.  Right now we have four franchisees whose tickets arrive in my email box every Sunday/Monday.  Anything that allows us to follow a routine for input every week greatly improves our efficiency, and this has helped us in our goal of accurate prelims more than any single change we’ve made!

To get statements sent directly to me, you only need to call Leigh McKinley (972-642-2244 x227) at DNC and request that she email them directly to:  kathy.mcnarie@mcnarieaccounting.com.  I once asked her myself if she could do that for all our clients, but she told me that the request must come from the franchisee.  *frown*

With this change, you no longer need to send DNC tickets to us!  Saves you some headache and some postage, eh?

Coke Tickets

Hi everybody!
As we continue to improve our processes, Mike and I have hit on a solution to the “Coke Ticket” problem that continues to affect accurate food costs on preliminary statements.  To date, we’ve been keying Coke from their delivery tickets or statements, which means we must either wait until we get them from the store or until a statement arrives.  Many times we don’t get the info before we’re ready to send out prelims.  So, we’re changing what we key info from…   For the month of August (and hopefully beyond), we’ll be keying Coke tickets from Pulse’s food worksheet on a weekly basis.  But in the past we’ve had a lot of issues of Pulse entries not matching what comes in on the Coke Statements.  So… while I’ll be keying purchases for Coke weekly, Mike won’t pay those tickets until he can match them to a Coke Statement.

This means two things…  1) We’re relying heavily on store input–meaning it’s now very important that the store keys the invoice number and the correct invoice amount–regardless of whether or not some of those Cokes are for employees.  And 2) food cost could conceivably change as Mike reconciles my input to the Coke statements.  If he finds missing tickets, he’ll add them.  If he finds tickets that don’t belong, he’ll delete them.  And of course, he’ll correct any invoice should it need it.  But we’re hoping that this reconciliation won’t be a lot.  However if it is, it’ll defeat the purpose, and we’ll obviously have to reconsider this whole Coke system.

There’s one other thing this change means to you… You no longer need to mail/fax/email Coke tickets to us!  Keep your fingers crossed that this system will work, and we’ll definitely keep you posted on it.

Testing Dropbox…

Hi everyone!

M&A is testing a new way to deliver financial statements.  It’s called Dropbox.  Today we set up our first client, and Sadig Abdelmotal has graciously agreed to be our guinea pig.  The concept is that we create a client’s financial statement in pdf form, copy it into our Dropbox file folder for that client.  After that client sets up his/her own Dropbox account, we can share the statement folder with the client.  Once they accept the share request, anything we put into that folder automatically populates into a folder on their computer.  Neat, huh?  We’re excited!  Testing has begun and we’ll watch how effectively it works.

New Home

Hello everyone!

McNarie & Associates’ website has a new home.  Mike and I wanted more access to how our website looks and acts so we moved to Bluehost.com.  So far, it’s been absolutely wonderful!  We get the access we need and it seems to require little maintenance.

Unfortunately, we don’t have that much time to change things around right now.  But look for updates in the future!
